HOA Board Meeting Minutes – March 5, 2024

  • General Business:
    • Newsletter: Newsletter, along with proxy form, was sent to homeowners in February.
    • Annual Meeting: Final plan steps:
      • Agenda: Beyond updates from Board members, the agenda will include: Sharon Malek, who is confirmed to present on behalf of HEAT; John Mandl, who will present for the Fire Department; and Sean still needs to connect with someone at the Homestead Water Company.
      • Advertising Annual Meeting: Announcement was placed on “sandwich board” sign near chalkboard; Marc Bohn to post Facebook page, etc.
      • Dues: ST Womack will facilitate collection of membership dues, including instructions on how to pay.
      • New Board Members: Need to encourage prospects to volunteer for Board. Scott Aurand and Sean Riley‘s terms are ending.  
      • Refreshments: Ginny and Roseanna handling refreshments.
      • Donations: Board still aligned on proposed donations to Inter-Canyon FD ($1,000) and HEAT ($300).
      • Other: Sean Riley will seek to print out nametags
  • Treasurer Update: ST Womack provide the Treasurer’s update.
    • Current Bank Balance: $20,995.18
    • 2024 Due Collection: 49 of 99 homeowners have already paid their dues, including two that have overpaid.
    • 2023 Due Collection: Two homeowners still have not paid 2023 annual assessments. Final notices sent, but still need to hand-deliver copies or post to front door.
    • Expenses: Received retainer request from Altitude Law.
  • Architectural Update: Mike Willemin provided an Architectural Committee update: Nothing to report but:
    • Marc Bohn was notified by Jackie White of request from Brad Haymes for HOA documents for a loan for his property on Flint Dr.
  • Maintenance UpdatePat Friel provided a maintenance update:
    • Speed Limit Signs: No update.
    • Road Work: JeffCo. has completed some patchwork in the last few days to repair cracks in the road. Erosion on the edge of the roads continues, which will presumably be fixed whenever the road is repaved. We have been told we are in the queue for repaving, though it is unclear when that will happen.  
  • Secretary’s Report: None.
  • Social Committee Update: None.
  • Miscellaneous Updates:
    • HOA Document Storage: Please send relevant documents or emails to Ginny Riley for storage (e.g., architectural approvals, legal, miscellaneous).
